The Override Permissions portal screen is designed to give other users the ability to assign

grade is coming to a close?

Return to SLCM FAQ List

How do we enter grades for classes using the plus/minus grades?
If a course is eligible for the plus/minus grade scale, those choices will appear in the drop down,
or they can be keyed in directly.

How can we view previous Academic Year/Term grades?
The current way to view grades is either in Academic Work via IRIS or the unofficial transcript via
the portal. The team is working to add this functionality to portal Grading. When it is available, you
will be able to go back to Fall 1988.

Will we be receiving a listing of classes for which no grades have been turned in?
The Registrar's office will receive such a report and will (as normal procedure) contact instructors/colleges
                        who have not submitted grades.

Is there a place on the student's file to see the notes written about a student's grade? If so, how do we see them?
These notes can only be viewed by authorized users (very restricted access).

How do we designate someone other than the faculty member to enter grades for a course?
Names for addtional grader access should be submitted to Michelle Nordin through the college approver.

What is the process for changing from a letter grade to another letter grade for Graduate students? Will
                 there still be extra paperwork?

Names for addtional grader access should be submitted to Michelle Nordin through the college approver.

How long are notes kept on students?
Notes are not purged from the system.

Will the system allow the grade of "D" to be given to a gradutate student?
No. Only valid grades for the student level/course combination will be permitted in the system.

Will the system allow the grade of "D" to be given to an undergraduate in the same course that a graduate
student is not allowed to receive a "D"?

                        Yes.

Will all grade changes be visible - like it is in SIS?
Grade changes are stored in the system. A user's role will determine if this information may be viewed.

Will the academic dishonesty grade be allowed to be changed? And by whom?
This can only be changed by the Registrar's Office.

What if the student is in the process of getting a withdrawal, do I have to submit mid-term grades for them?
And can I submit grades without that student?

A grade does not have to be assigned to every student during the mid-term grade period. A grade
must be assigned to every student during the final grading period.

How late can mid-term grades be done?
Deadline for submission of mid-term grades is the last day of the Mid-term Grading Window. For Spring 2007,
                        the date is March 8.

At what point can they make a grade change from a previous semester? And or prior years?
This can be done at any time using the grade change form. A grade change cannot be performed
electronically for a semester prior to Spring 2007.

Can the grade be changed multiple times? And is there still a 3-time limit?
Grade change requests can be submitted electronically. The grade change requests are reviewed and
processed (or denied) by the Registrar's Office. The University Senate rules determine the number of
                        grade changes permitted.

Can I view all of the "I" or incomplete grades for my department?
At this time, there is not a report created to provide this information.

Can I override a grade change? For example, if a TA gives into a student's request for a grade change, and I
do not agree with that decision.

Anyone with proper authorization to grade a particular course may request a grade change for that course.

Is there still going to be placeholders for grades (JJ), for students who have an academic offense (within the
10-day period to appeal) - it is not appropriate to give them an incomplete?

There is not a placeholder grade.

Will the student and instructor of record be notified when the one-year window of time for an incomplete
grade is coming to a close?

There is no communication method in place at this time.

Program of Study, Majors, Minors, Etc.

When using the Effective Date for Changes guidelines to make Program or Major changes after the census
date, who will do the advising? As far as the "old" college is concerned, the student is already in the "new"
college, so they don't want to set the student up for advising. However, the "new" college will not allow the
student to be advised, since the student will not be in the "new" collge until the term begins.
If I use the beginning of the current term after the census date instead of using the next term,
what should I do? For example, on 9/4, I use 8/27/08 instead of 12/22/08 for the effective change date.
If the effective date of change is after the census date, which college will be able to lift the holds
during priority registration, the "old" college or the "new" one?

Discussions regarding this issue will addressed during the Fall '09 semester through the advising network.
If you still have questions after reviewing the information provided by the advising network, check with
Jacquie Hagar in the Registrar's Office.

what should I do? For example, on 9/4/08 I use 8/27/08 instead of 12/22/08 for the effective change date.

Contact the Registrar's Office to have them make the correction.

If the effective date of change is after the census date, which college will be able to lift the holds
during priority registration, the "old" college or the "new" one?

The advisor in the new program will be able to lift the hold and the student will also be able to register
for any classes that are major restricted.

Student Records

Will UK continue to collect the student's social security number and use it as an identifier?
Do student service employees need to know the assigned Student Number to access and display
                 student information?
How should international names with multiple first names (and/or multiple last names) be handled?
Do they require hyphens or any special treatment?
In IRIS, can we export other data to Excel or Access? For example, all students with a certain major or minor?
Can we see GRE scores, total scores, AP credit given to a student and where?
When a student changes his/her name via the portal in IRIS, does it make the change in Blackboard also?
On the Student view in the portal, can the student see the faculty member assigned to advise them,
                 the telephone number, and email?

Return to SLCM FAQ List

Will UK continue to collect the student's social security number and use it as an identifier?
The student's social security number no longer will be used as the primary identifier. Instead, the new software
will automatically assign each student an eight-digit Student Number. The University will continue to collect
the SSN, but use it only when required by law or regulation (e.g., student finanical aid processing).

Do student service employees need to know the assigned Student Number to access and display

student information?
No. The new software allows users to search for student records easily by using name, date of birth, or SSN.

How should international names with multiple first names (and/or multiple last names) be handled?

Do they require hyphens or any special treatment?
There is no definitive answer about how international names should be entered, since these are separate fields
in CM. The CM Team's recommendation is to enter one first name, one last name (or as much as is truly
considered part of each of those names) and then the remainder could go in the middle name field.

In IRIS, can we export other data to Excel or Access? For example, all students with a certain major or minor?
This information will come from the Business Warehouse.

Can we see GRE scores, total scores, AP credit given to a student and where?
Yes, on the unofficial transcipt through the myUK portal.

When a student changes his/her name via the portal in IRIS, does it make the change in Blackboard also?
This information is sent to Blackboard via an interface.

On the Student view in the portal, can the student see the faculty member assigned to advise them,
                 the telephone number, and email?

                        Not currently
